Can I get my data out? What does an export contain?
Yes, on every plan, including Free. Exporting is never locked behind a paid plan.
In the web app: open the app's Settings, then Export. Only the app's owner or a manager can export; if you are neither, ask one of them.
- "Export everything (.zip)" gives you the app's design, every record and every uploaded file. The records are in a file called records.json, and each uploaded file is inside the zip, grouped by record.
- "Records only (.json)" gives you just the records.
Each record in the web export (.zip or .json) includes who created it and when, who last changed it and when, and all of its field values. Dates and times are written as numbers (milliseconds since 1970). A link to another record is written as that record's ID, which you can match to the ID of the record it points to in the same file. The web export (.zip or .json) contains the records as they are now. It does NOT include deleted records or the history of earlier versions. Only the desktop app's "Export a copy" includes the full history.
In the desktop app: open Settings, then Backup & export, then "Export a copy". This saves a complete, unencrypted copy of the app as a standard SQLite database file on your computer. It includes every record, the full history of changes and the uploaded files. Any SQLite tool can open it. (The app's own working copy is encrypted, which is why the export exists.) "Back up now" makes an encrypted backup instead.
To get one table into a spreadsheet, open the list and click "Download as CSV". It saves the records you are looking at, with your filter and sort applied, every matching row, as a file that opens in Excel, Numbers or Google Sheets. Links come out as the linked record's name and people as their names. A CSV is one table, not the whole app: it has no attached files and no history, so for everything else use the .zip export (every record and file) or, for the full history as well, the desktop app's "Export a copy".
If you delete your account, your apps and everything in them are removed from the live service straight away, and it cannot be undone. Copies stay in our nightly backups for up to 30 days and are then deleted for good. Export anything you want to keep first.
